1. How to add clients to a trip?

  1. Create a new trip or choose one from the list.
  2. Locate the Trip menu on top of your screen and click on Clients.
  3. Select the + Add clients button.
  4. Use the search bar located at the top of the screen to do a simple client search by name or create a new client by using the Add new one button.
  5. Select the client and click on Add Clients. If it is a new client the platform will save it on the database automatically.

2. How to select a contact person for a trip?

  1. Create a new trip or choose one from the list. 
  2. Locate the Trip menu on top of your screen and click on Clients.
  3. Find the client that will be your contact person. Click on the three dots button located next to the client’s name on the right side.
  4. Choose the option select main contact.

Note: The Main Traveler will receive all information regarding the trip. You can select this option for one or more clients on the trip.

3. How to remove a client from a trip?

  1. Locate the services that your client has been associated with. Click on the Actions button located next to the service on the right side.
  2. Click on View Info.
  3. From the service menu located in the left select Clients, then click on Edit and remove the client from the service.
  4. Save the information and repeat for any other service the client has been added to.

Once you have removed your client of all the services:

  1. Locate the trip menu, select the Clients category. Find the three dots button on the right for the client you want to delete.
  2. Click on Remove From Trip to delete the client.

4. What does it mean to be the main client on an invoice?

The invoice will be generated using the name of the Main client you selected.

5. Why are there clients who have a red warning icon on a trip?

Clients who were added to a trip and do not have a method of contact will be marked with a red triangle (🔺). If the client was already on a trip and has no method of contact, the platform will throw an alert and ask you to add a method of contact to be able to edit the client information.

6. Can a prospect be added to a trip?

Yes, a prospect can be added to a trip as long as it has a method of contact. If he/she does not have one, you must complete this field in order to add the person to the trip.

Note: Once a prospect is added to a trip within TravelContact, the platform automatically changes the classification from Prospect to Client.

7. How to create groups of clients on a trip?

To create a group of clients, you must have previously added the people on the trip, in the clients section.

  1. Enter the Groups category on the right side of the section.
  2. Click on the New Group button, a window will open where you can select the clients of the group and the main client. Add a name to identify the group.
  3. Click on Save and repeat the process according to the number of groups you need.

8. What are the groups of clients used for in a trip?

Within a service, all the clients that are going to consume it may be associated but the cost is not necessarily divided among all of them, the functionality of Create groups of clients is to differentiate the people who are going to be responsible for making the payments in all those services where the costs are divided.
