Transactions

In this module you can check and export the reports of services and commissions generated. Also there is a section created for the admin users where you will be able to enter the commission information.

What is transactions module's purpose?

Provide better control of the transactions for each of the services added by the agent and generate complete reports with the most relevant information needed by travel agents and agency administrators.

How is the Transactions Module conformed?

The Transactions Module is made up of four sections:

1. What is the services report section?

In this tab you'll be able to see a list of every existing service within a selected date range. You can filter this list of services by different criteria as well as export all list to an excel file.

2. How to export services report?

  1. Select the Transactions Module in the main menu.
  2. In the services report tab, set a date range.
  3. Click on filter by and choose the filter of your preference.
  4. Locate the export button and click on it.
  5. The platform will export the content to an excel file that you would find it in your computer's download folder.

 

Commission Reports

1. What is the commission reports section?

All the information you need to know about the commissions. Those ones that the agency has Not Received the payment from the supplier, the information about the commission the agency has already received but has Not Paid to the travel agents yet, the record of all commissions Paid to Agents and the commissions generated through Flywire.

2. It’s possible to assign different commission percentages for each travel agent within the agency?

Yes. As an admin user, you can set up a pre established percentage for each agent in the Agency Administration module. This will appear by default in all commissions fields where the agent is involved.

3. It’s possible to change the agent to whom the commission is going to?

Yes, the name of the agent appears by default depending on the person who created this service on the trip. However, the person to whom the commission payment is directed can be changed.

4. It's necessary to confirm a service in order to add a commission received?

No, all the services created will appear in the commission's section regardless of their status. This also applies to commissions received in batch.

5. How to export commission reports not received?

  1. Select the Transactions Module in the main menu.
  2. Locate the commission reports tab and choose the No Received option.
  3. Click on the export button located on the right side of the screen.
  4. The platform will export the content to an excel file that you would find in your computer's download folder.

Note: You will see the commissions not received from Flywire.

6. How to export commission reports not paid? 

  1. Select the Transactions Module in the main menu.
  2. Locate the commission reports tab and choose the Not Paid option.
  3. Click on the export button located on the right side of the screen.
  4. The platform will export the content to an excel file that you would find in your computer's download folder.

Note: You will see the commissions not paid from Flywire.

7. How to export commission reports paid?

  1. Select the Transactions Module in the main menu.
  2. Locate the commission reports tab and choose the Paid option.
  3. Click on the export button located on the right side of the screen.
  4. Finally the platform will export the content to an excel file that you would find in your computer's download folder.

Note: You will see the commissions paid from Flywire.

8. How to enter a commission payment from the Transaction Module?

  1. Enter the Transactions Module - All commissions.
  2. Find the service to which you are going to pay the commission, click on the button Actions - Enter commission.
  3. A window will open where you must add the transaction information: date, amount, confirmation #, Description, Payment method, CK/ CC/Ach No, Memo, in this step you can Add and reconcile later or Add and start reconciliation.
  4. When selecting Add and start reconciliation, you must enter the payment date and the amount of the Commission received.
  5. Then, click on Finish Reconciliation.

1. What is the input commissions section?

Only for Admin

As an administrative user, you need a quick and easy way to distribute commission payments. In this section you will see all the services added by your team to the platform, use the filters to find the services quickly. You can add the commission's information from here.

2. How is the input commissions section conformed?

The input commissions section is conformed by a group of filters for an essay search, if you use more than one filter at a time, these will work together and save you time in your search to find the service to which you will add the commission.

In the lower part of this section you have a list of all the services with a commission included, where you can add the payment information individually for each of them once you have received it.

 

3. How to enter payments in the input commissions section?

Only for Admin and Assistant

  1. Go to the Transactions Module and click on the input commissions tab.
  2. Locate the service you wish to enter the commission’s details on the list. Click on the action button on the right side of the service and select the option Enter commission.
  3. A box will open where you must complete the payment information. To finish, click on Add.

4. What is the batch commissions feature?

When receiving a payment from a supplier that covers many services, you will be able to apply it to all of them in a single entry, in an easier and faster way.

5. It’s possible to edit a batch commission?

Yes, in the same section you can use the search field or simply go through the list of commissions entered. Once you find the group of commissions you want to edit, simply click on the Edit button next to it. Here you’ll be able to change or edit any information previously entered.  

Note: Use the filters to find the supplier you are looking for.

6. How to enter a batch of commissions?

  1. Find the Transactions module and go to the Input Commissions tab
  2. In the upper left corner of the screen click on batch. Then click on the New Input button.
  3. A new tab will open where you’ll be able to add the commission information.
  4. Add the amount of the payment received and the payment method. When you select the Supplier Name, all corresponding commissions for this supplier will automatically show.
  5. Using the check box on the left of each service, select those that are covered by the payment that you received. Slide to the right to see the required fields you need to complete.
  6. To finish click on Confirm.

7. How to add a recall to a commission? 

Only for Admin and Assistant

  1. Locate the Transactions Module in the menu on the left and click on it. 
  2. Select the Input Commission section.
  3. Using the filters, search for the services in which you want to correct the commission. On the right of the service, click on the Actions button and choose the option Enter commission.
  4. A new window will open where you must enter the information of the recall, in type of commission select Recall and complete the rest of the fields (date, amount, commission status). Once you have all the information, click add.
  5. The amount of the recall will be debited from the amount of the commission received and you will be able to see it in the totals table.

1. What is the invoice report section?

In this tab you can see a list of all the invoices generated within a selected date range. You can filter the invoice list by different criteria: Agent, status or flywire status, as well as export the entire list to an excel file.

2. How to export the invoice report?

  1. Select the Transaction Module in the main menu of the platform.
  2. Enter the invoice report tab.
  3. Set a date range and filter according to the available options.
  4. Locate the export button on the upper right corner and click on it.
  5. The platform will export the content to an excel file that you will find in your computer downloads folder.

Note: You will see the paid invoices from Flywire.
